Connected on purpose

Other tools make you open a window, fill a form, and hit save — then someone still has to call the truck. In CrewLanes, drag a ticket and the tech gets a text. The board updates. The crew already knows.

  • Drag a ticket. The tech gets a text.

Assign or move a job and an opted-in tech gets a short SMS from the shop — customer, street, time. Included with the seat. No extra texting account to set up.

  • Draw it on the week calendar

Need to schedule something? Draw it on a technician’s lane. Reschedule or reassign by moving the job — no stack of dialogs.

  • Installs on one board

Rough, ducts and pipes, finish — one row per job. Drag an open phase onto a tech and a day. Same live board the office and the field already share.

  • Desktop and mobile

Run the day from the office monitor; check the next stop from a phone. Same simple board — stay connected without a second system.

Included SMS

The ticket moves. The phone lights up.

Opted-in techs get a short notice from the shop’s name — not a blast from CrewLanes. Job scheduled or job updated, customer, street, and time. Same technician on every install phase gets one grouped text, not three.

Enter a cell, choose SMS or Both. That’s the setup. Fair use comes with the seat — we are not selling a separate texting pack. How staff opt in.

What the tech sees after you drag the ticket — shop name first, then the job.

The right view for every role

Dispatchers see the full crew board. Technicians open their own schedule and the map for the jobs in front of them. Everyone works from the same live data — so when a ticket moves, the office and the field stay connected without a second system.

Works alongside the tools you already keep

CrewLanes is the field-crew layer — not a replacement for your CRM, QuickBooks, or accountant. Keep those systems; add the board that keeps people in sync.

For HVAC, electricians, plumbers, and field service shops

Each company gets its own CrewLanes workspace. Installs stay on a phase board. Service stays on the week calendar. A drag texts the tech. The whole team stays connected — without ripping out the tools that already run the business.

  • Owners & dispatch

See the whole day, rebalance crews, and drag an open install phase onto a technician.

  • Technicians

Get the text, open your lane on a phone, and mark progress without calling the office for every detail.

  • Estimators

Keep proposals tied to the customer and the visit — accepted or pending, right on the schedule.

Getting started

Questions shops ask us

How data gets in, how accounting stays yours, and how we keep it safe.

How do I put my customers into CrewLanes?

CrewLanes geocodes every customer so you can run the shop on a map — not just a list. Once they’re in, type any part of a name or address and the rest auto-fills. That’s why the customer list belongs in the scheduling app: less retyping, fewer mistakes, and jobs that land on the right door.

Some customers have more than one location. CrewLanes understands that and organizes them so work and billing stay tied to the right site.

We check that addresses are postally correct and store accurate latitude and longitude so map pins and routing stay trustworthy. The calendar uses that geocoding to calculate travel time between jobs, so drive time is managed for you — not left as a guess on the board.

Most systems charge for these capabilities as add-ons. CrewLanes aims to include what you need and keep evolving as you use it — send a feedback request anytime.

To load them, send an export from what you already use — QuickBooks IIF, CSV from your CRM, or a spreadsheet. A simple file can look like:

customer_name,phone,email,address,city,state,zip
Bayshore Medical Group,920-555-0142,office@bayshore.example,1200 Memorial Dr,Green Bay,WI,54303
Fox Valley Properties,,dispatch@fvp.example,88 Industrial Pkwy,Appleton,WI,54914

Tell us your system (QuickBooks Desktop/Online, Xero, ServiceTitan, Jobber, Excel, etc.) and we’ll map the fields — or import for you if you’d rather not touch a spreadsheet.

How do I put my crew into the system?

Same idea for technicians and roles — a short staff list is enough to start:

display_name,login_user,role,phone,crew
S Ortiz,sortiz,technician,920-555-0101,Install
J Nguyen,jnguyen,technician,920-555-0102,Service
A Harper,aharper,dispatcher,920-555-0199,

IIF or payroll/HR exports work when that’s what you have. Using something else? Just say what it is — we’ll adapt. We can also set up complete integration or a custom import so you aren’t retyping names every season.

How do I connect CrewLanes to my accounting system?

CrewLanes is the field board — not a second general ledger. Most shops keep invoicing in QuickBooks (or whatever they already trust) and use CrewLanes for who is where and when.

We can start with one-time IIF/CSV loads, then grow into ongoing sync or a custom bridge if you want work orders and bookings to flow with less typing. Tell us your stack; we’ll meet you there — complete integration and custom formatting are both on the table.

Do we need our own texting account?

No. CrewLanes includes staff texts — assigned jobs and schedule changes — on the shared CrewLanes number. Add each person’s cell and set Notify to SMS or Both. That’s it. This is transactional dispatch, not marketing. Fair use comes with the seat; we aren’t selling a separate SMS pack.

On the public demo, open the tour step See it on your phone and tap Text me — then drag a job. Paying shops get the same behavior when a ticket is assigned or moved. Policy and opt-in copy: crewlanes.com/sms.html.

Is my customer and employee information secure?

Your company data lives in your own CrewLanes workspace on your server — isolated from other shops. We do not sell, rent, or share customer or employee information under any circumstances.

Access stays with the accounts you control. If you need specifics for an insurer or IT review, ask — we’ll walk through how your tenant is separated.
